Revitalizing the Digital Experience for Senior Living Organisation

This project presented an exciting and creative challenge for our team.

It involved coordinating a range of complex, moving parts that required attention in multiple formats.

Our collaboration was with an integrative senior living organization based in New York, which takes a personalized approach to care. The project objective was to merge several web properties into a unified digital experience, which included user journeys, wireframes, design, migrating content, and building the site's technical infrastructure from the ground up—all while ensuring thorough documentation and training.

The client wanted an intuitive, easy-to-navigate platform where families could access vital information about the care available for their loved ones' health and wellness. Throughout the process, we maintained close communication with our agency partner.

The Challenges and Goals

The senior living organization faced the challenge of managing multiple siloed websites, each tied to a different campus building. We aimed to unify these sites into a cohesive digital experience highlighting the organization’s holistic, “lifestyle” approach to care. This involved redesigning and migrating over 300 pages of content to ensure seamless organization and flow.

The project had to align with the organization’s core values—making residents feel cherished, valued, and connected—while meeting the needs of both elderly residents and their families. Ensuring the site was user-friendly and easy to use for both groups was critical. The redesign showcased their recent brand refresh with a responsive, accessible design that provided all users with an intuitive, inclusive experience.

Ultimately, the project focused on delivering a simple, reassuring digital platform for seniors and their families while ensuring it aligned with the client’s marketing and business objectives. By creating a user-friendly experience, the site aimed to drive sign-ups, increase sales, and raise public awareness of its facilities, ultimately supporting the organization’s growth and community engagement goals.

Our Role

Create a Modern-User-Centric Digital Experience:
We combined several web properties into a coherent digital experience.
Fully Design the project:
We created the entire design from scratch, including wire-framing, prototyping, testing, and visual-roll out.
Manage the Content Migration:
Overall, 300 pages and articles were migrated, including the implementation and checking of both an SEO strategy as well as the technical SEO results.
Build the Website:
We built the website using a modern Frontend Framework (NextJS) and the Strapi CMS.
Create Documentation and training:
We developed an extensive Strapi CMS guide and training for our agency partners, including workshops and recorded walkthroughs.
Deployment:
The Deployment process was run and led by our content engagement managers who delivered the project to the proposed YRP partner, amazee.io.

The Process
Senior Design Direction
We began with a comprehensive briefing session with the initial agency to ensure a smooth handover of key information before meeting with the client’s leadership team.
Discovery Workshops and Business Goals Alignment
We ran discovery workshops with the CEO and key leaders to align the website’s objectives, structure, and user flow with the organization’s needs. Using a Miro board, we also mapped out key elements like communication strategy, content structure, and the new brand rollout to ensure the design supported their broader business and marketing goals.
Low-Fidelity Wireframing
In a follow-up meeting, we defined the user journey and flow, focusing on discoverability. We refined the navigation and ensured the information architecture was intuitive, incorporating three levels of navigation, sub-navigation components, page filtering, and a robust search function.
User Journey Wireframes
We identified and presented the primary, secondary, and tertiary objectives for each page, clearly marking key touchpoints. The wireframes detailed the portal steps, design considerations, best practices, and anticipated user interactions.
Component Specifics
We delved into specific user journeys, such as the donation portal, and wireframed its flow. To test the experience, we created a low-fidelity, clickable prototype to evaluate usability and interaction.
Rebranding
As the website played a key role in the organization’s brand launch, we ensured the new color scheme was both on-brand and accessible, meeting web standards for contrast and readability.
Brand-Aligned Design System
We developed a comprehensive design system, including iconography and typography style sheets for mobile and desktop variants. We meticulously ensured that all states, input fields, components, buttons, colors, and fonts were aligned with the brand and followed best design practices.
Website Design
The website’s layout was clean, with a clear content hierarchy, ensuring responsiveness across all devices. Every component was designed to work seamlessly on any screen size.
Internal Testing
Once all design elements were approved, we conducted internal testing across Android and Mac devices to ensure the website’s functionality and design consistency.
Migration:
Using automated tools and APIs, we migrated thousands of pages of content, news articles, and legacy links, while preserving SEO rankings.
Quality Control (QC) Process:
As the client’s content team began uploading content, we performed a detailed internal quality check to address any minor issues before the final launch.
Handover to Client:
The final product was deployed by the engagement manager, who was involved throughout the project to ensure a smooth transition and clear communication.
Documentation of the System:
We created thorough documentation, including CMS guides, design system references, and technical training materials, to ensure the client could maintain and update the site independently in the future.

Documentation and Training: We created an in-depth Strapi CMS guide for our agency partners, including three 90 minute workshops and additional recorded CMS walkthroughs as new features were added.

Results

The new website transformed the organization’s online presence into a unified, intuitive platform. It features a clean, streamlined design with a clear content hierarchy, ensuring that all components are fully responsive across devices. The site was built with accessibility in mind, making it a go-to resource for both families and elderly residents, who now benefit from its ease of navigation and visually appealing design.

Through close collaboration with the YRP partner and providing senior-level expertise from Workshop Orange, we were able to meet and exceed the project’s objectives. The result is a powerful digital foundation that not only strengthens the senior living organization’s online presence but also positions them for continued growth and success in the future.
